Time Admin

The Time Admin view allows you to view all time entries in the entire workspace. Here you can review, approve, or reject time entries submitted by team members. This interface streamlines the approval process and helps maintain accurate time tracking across your organization.

Accessing Time Admin

To access the Time Admin view:
  • Click the Admin tab on the header of Log

Filtering Options

Refine the displayed time entries using the filter options:
  • Date Range: Filter by presets such as last or current month or week, or a custom date range
  • Task Labels: Filter by specific task categories
  • Project: Filter by specific projects
  • Members: Filter by individual team members
  • Team: Filter by specific teams
  • Approval Status: Filter by current approval state (pending, approved, rejected)
  • Billing Status: Filter by whether the time entries are billed or not
By default, there is a filter applied for Approval Status: Pending.

Time Entry Table

The Time Entry table presents time entries in a clear, organized format with the following columns:

Columns

  1. Selection Checkbox: Used to select entries for approval or rejection
  2. Duration: Shows how much time was spent on each entry
  3. Task/Project: Displays the associated task and project
  4. Member/Comment: Shows who logged the entry and any comments

Approval Process and Other Actions

Selecting time entries will enable several actions:
  • Approve/Reject: Review and approve or reject the selected time entries. Once approved, the time entries will be locked and cannot be edited or deleted from an individual time view. Admin or Manager roles can still edit or delete the time entries from the admin view.
  • Export Data: Download the selected time entries in CSV or Excel format for external analysis or record-keeping
  • AI Comment Summary: Generate an AI-powered summary of all comments from the selected entries, which can be useful for creating customer updates about completed work (requires comments to be added to entries)
  • Delete Entries: Permanently remove the selected time entries from the system. Please note that this action cannot be undone and deleted entries cannot be recovered, so use this option with caution
You can select time entries for review in two ways:
  • Individual selection: Click the checkbox at the beginning of each row to select specific time entries
  • Batch selection: Click the checkbox in the table header (next to “Duration”) to select the entire list of all time entries displayed.
